Scheduling Protocol

The following protocol will be used to reward fraternities and sororities who take advantage of these programs and promote a healthier membership in their respective organizations.

Approval and Credit

The following steps should be following by the organization requesting the program to ensure that it is a success and that proper credit is received through this merit system.

  1. Identify a topic - After deciding to host a program, chapter leadership must decide on the topic they wish to have covered during the program.
  2. Contact the Presenter - The individual in charge of setting up the program should contact the relevant speaker a minimum of 10 business days prior to the program.
  3. Select a Date and Time - After discussing availability with the presenter and date and time for the program should be selected.
  4. Reserve a Room - After consulting with the presenter a proper room should be reserved to accommodate the session. The room should be conducive to the type of presentation being given and any audio/visual needs requested should be provided.
  5. Notify Greek Advisor - Once items #1-4 are finalized the organizer should email the appropriate Greek Advisor with the date, time, location, topic to be covered and the name of the presenter.
  6. Attend Presentation - Attend Presentation - 85% of chapter members must attend the presentation and be active participants to receive credit for the program. Each chapter is responsible for determining who will attend the program. If 85% of the chapter membership cannot attend the program as scheduled it should be rescheduled for a time when more members can attend.
  7. Take Attendance - During the presentation an attendance sheet should be passed around that each person attending signs and then prints their name after their signature.
  8. Presenter Verification - After the program the presenter should sign off on the attendance sheet to verify that all names on the sheet match the number of participants in the room.
  9. Turn in Documentation - The next business day complete the Program Event Evaluation Form and turn in the attendance sheet to the
    appropriate Greek advisor in the Student Life office.
  10. Send Thank You - A thank you not should be sent to the presenter thanking him/her for taking the time to speak with your organization.
